A VOID stamp shows a document has been cancelled and must not be paid, cashed or relied on. It keeps the record intact, which matters for audit trails and sequential invoice numbering.
Common cases
- An invoice was issued with the wrong amount or GSTIN and has been replaced. Void the old one, and keep the number so your series has no gaps.
- A cheque image or payment authorisation has been cancelled.
- A quote or purchase order has been withdrawn.
How to do it properly
- Stamp every page. Choose Stamp all pages so no single page can be reused on its own.
- Use red and make it large. Raise the size so the word spans the page diagonally.
- Note why it was voided. Put "Replaced by INV-1043" in the reference field so anyone reading it later knows what happened.
- Never delete voided invoices. In most tax systems, including GST in India, a cancelled invoice should be kept and accounted for, not erased. A credit note may also be needed, so check with your accountant.
Because the stamp is drawn into the PDF itself, it travels with the file wherever it's forwarded.
