A REJECTED stamp sends a document back with no ambiguity. It's common in construction submittals, expense claims, vendor invoices that don't match a PO, and design proofs.
Do it in a way that saves a round trip
- Always give a reason. Put a short reason in the reference field, such as "No PO", "Wrong rate" or "See markup p.3". A bare "REJECTED" just triggers an email asking why.
- Date it so both sides know which round of review this was.
- Use red, first page only, unless every page is affected.
- Keep the rejected copy. It's part of the review trail if the same document comes back.
For drawings and submittals, many teams use a three-state system: APPROVED, APPROVED AS NOTED (use a custom stamp) and REJECTED / REVISE & RESUBMIT. You can type any of these as custom text, up to 20 characters.
