After several rounds of drafts, a FINAL stamp settles which file is the one everyone agreed. It's useful for reports, proposals, specifications and board packs.
Make "final" verifiable
- Add the version and date in the reference field, for example "v5 – Final – 20 Oct".
- First page only is usually enough, and keeps the document clean for printing.
- Use the same file name convention, such as
Proposal-ClientX-FINAL-v5.pdf.
FINAL vs APPROVED
FINAL describes the document ("this is the last version"). APPROVED describes a decision ("someone signed this off"). Many teams use both: the author marks it FINAL, then the reviewer stamps APPROVED.
