CANCELLED is for documents tied to an event or order that won't happen, such as a purchase order, booking, event ticket or subscription invoice. It's close to VOID, but commonly used for orders and bookings rather than payments.
Best practice
- Give the cancellation reference and date, for example "Cancelled 20 Oct – Ref CN-118".
- Stamp all pages of POs and contracts so no page can be reused on its own.
- Red and prominent.
- Keep it on file. Cancelled documents still belong in your records, especially if a deposit, refund or credit note is involved.
CANCELLED vs VOID
Use VOID when a financial document was issued in error and replaced. Use CANCELLED when the underlying order or agreement was called off. If you're unsure, follow whatever your accounting system uses.
