A PAID stamp turns an invoice into proof of payment. Clients ask for one when their finance team needs to close out an expense, when a reimbursement claim needs evidence, or when an auditor wants to see that the invoice was settled.
When to use it
- A client asks for a "paid invoice" or a receipt after paying you.
- You keep a folder of settled invoices for your accountant.
- You're reconciling bank deposits against invoices at month end.
Best practice
- Add the date. "PAID" alone doesn't say when. Turn on Today's date, or type the actual payment date into the reference field.
- Add the payment reference. Put a UPI/UTR number, cheque number or bank transaction ID in Reference number so the stamp can be traced.
- Use green, angled, semi-transparent. That's the convention: it reads instantly but doesn't hide line items. The default 80% opacity at -30° works well.
- Stamp the first page only for multi-page invoices. The totals usually sit there, and it keeps later pages clean.
- Keep the original. Save the stamped copy as
INV-1042-PAID.pdfand leave the original untouched.
Batch-marking a month of invoices
Drop several PDFs in at once. The same stamp applies to all of them, and you download a ZIP or one combined PDF.
